How your voice answers are used — privacy notice

1. Who is responsible for your data

Jose Ramon Leon Rodriguez is the data controller: it decides why your answers are collected and what happens with the result. Privacy contact: legal [at] useleadpass.com.

The technology is provided by LeadPass, a service operated by Jose Ramon Leon Rodriguez, a sole trader (jednoosobowa działalność gospodarcza) established at Egipska 5/69, 03-977 Warszawa, Poland (NIP 8992886524, EU VAT PL8992886524, REGON 387147849, entered in the CEIDG (Centralna Ewidencja i Informacja o Działalności Gospodarczej); contact: legal [at] useleadpass.com). LeadPass acts as a processor: it runs the recording, transcription and assessment on Jose Ramon Leon Rodriguez's instructions. LeadPass does not use your answers for its own purposes or to train AI models.

2. What happens on this page

You answer a few questions by voice. Each answer is:

  1. recorded — you press record yourself, and you can re-record an answer before sending it;
  2. transcribed automatically (speech-to-text) by a transcription worker operated for LeadPass;
  3. assessed by an AI system against criteria set by Jose Ramon Leon Rodriguez (see section 4). The system may also ask you a small number of AI-generated follow-up questions based on what you already said.

You are interacting with an AI system. The result of the assessment goes to Jose Ramon Leon Rodriguez and is used to decide the next step (section 4 explains how, including when the next step is shown automatically and when your final screen includes a personalized AI-written response based on your answers and material about what Jose Ramon Leon Rodriguez offers). Where Jose Ramon Leon Rodriguez has connected its own tools to this page and enabled delivery for the resulting verdict category, the result — including your contact details and the assessment — may also be delivered automatically into those tools (for example Jose Ramon Leon Rodriguez's CRM), under Jose Ramon Leon Rodriguez's responsibility.

3. What data is collected

No photo, video, or screen capture is involved. No third-party analytics or advertising trackers run on this page. The only result-step measurement is the eligible automatic-Pass first-button-click event described above; LeadPass does not track you at the destination (see section 13).

4. How the AI assessment works

Your transcribed answers are evaluated against a set of criteria defined by Jose Ramon Leon Rodriguez (for example: fit for the service, urgency, budget). For each criterion the AI assigns a rating in bands (from very low to very high) and quotes the parts of your answers it relied on. From those ratings, the system derives an overall proposal — labelled Pass, Review or No pass; essentially proceed, needs a closer look, or not a fit right now — by applying a fixed mapping defined by LeadPass together with any required or gate conditions configured by Jose Ramon Leon Rodriguez; the AI does not freely choose the label. Incomplete means the available answers did not contain enough required or usable evidence for one of those three overall proposals. This may happen after you leave part-way or after you answer every question without supplying a required fact. Conversely, a partial response that contains enough usable evidence may still be assessed as Pass, Review or No pass. For an Incomplete result, the available answers may still be transcribed, assessed by criterion and shown to Jose Ramon Leon Rodriguez, but no reliable overall Pass / Review / No pass proposal is made.

The proposal is an input for Jose Ramon Leon Rodriguez, not its external business decision about you. In automatic mode LeadPass publishes that proposal as the verdict used for the configured next step. In manual-review mode an authorised person at Jose Ramon Leon Rodriguez reviews the assessment and publishes or changes the verdict. An automatic Pass may also include a personalized response written by the AI after the verdict is fixed; Review, No pass, Incomplete and all real responses processed in manual-review mode do not. The Pass response uses only facts you stated, a factual identity of what Jose Ramon Leon Rodriguez offers and compact units grounded in material it supplied. It shows between one and three connections between different facts you stated and different real units; LeadPass validates the answer evidence for every connection against your stored answers and leaves out any connection that fails. You see the natural introduction, point titles and connection text, and Jose Ramon Leon Rodriguez can review that same generated copy in its audit view. LeadPass internally checks the model-returned answer-evidence and source-reference fields; neither view exposes transcript quotations, source titles, underlying claims or those internal validation fields. If no valid connection remains, no personalized AI block appears. The response cannot change the proposal, verdict, outcome message or CTA. The AI does not receive the verdict, criteria, bands, outcome message, button, URL or routing instructions. A configured presenter appears only next to Jose Ramon Leon Rodriguez's own authored outcome, not as the author of generated text. You can always contact Jose Ramon Leon Rodriguez afterwards to have a person review it. If you believe the outcome is wrong, you can contact Jose Ramon Leon Rodriguez at legal [at] useleadpass.com to ask for an explanation, express your point of view and have a person review the full assessment and reconsider the outcome (see section 9).

The AI evaluates only the content of what you say — not your voice tone, pitch, accent or any other vocal characteristic (see section 10). The system is instructed not to use protected characteristics (such as health, ethnicity, religion, sexual orientation or family status) when assessing you. Because an AI output can still be wrong, do not include sensitive information in your answer and ask Jose Ramon Leon Rodriguez for human review if an output appears to rely on it.

5. Why your data is processed (legal basis)

Jose Ramon Leon Rodriguez processes your answers to assess your enquiry or request before the next commercial step (for example, before a call, proposal or booking) and, where an automatic Pass shows you that step as a button, to understand whether the button was used.

Jose Ramon Leon Rodriguez processes these answers to respond to and qualify the enquiry. Where the GDPR applies, the confirmed basis is legitimate interests (Art. 6(1)(f) GDPR): Let prospects experience LeadPass and assess whether it fits their commercial qualification process before deciding whether to start an account.. You may object at any time (section 9).

6. Who sees or receives your data

If Jose Ramon Leon Rodriguez has configured a webhook or another connected tool, the contact details and result fields described in section 2 may also be sent to that destination where delivery is enabled for that result, under Jose Ramon Leon Rodriguez's responsibility. LeadPass never sells or shares your data for advertising. Jose Ramon Leon Rodriguez does not receive your raw audio through any channel other than the Service itself.

7. Data leaving the EU

Your recordings are stored at rest in Wasabi's eu-central-2 region (Frankfurt, Germany), and your transcripts and assessment are stored with the application in the EU. Your audio is not sent to OpenAI. The text described in section 6 for evaluation, follow-ups and any enabled personalized response may be processed outside the EU by OpenAI affiliates or sub-processors, including in the United States, under the EU Standard Contractual Clauses or another valid safeguard in OpenAI's data-processing agreement. Cloudflare terminates TLS and processes page traffic through its global network, which means request content as well as IP and technical data may be processed outside the EU; Cloudflare relies on the EU–US Data Privacy Framework and its contractual safeguards. If the Review-to-Pass email described in section 6 is enabled, Resend processes the address and message to deliver it and may process them in the United States under its contractual transfer safeguards. A destination selected by Jose Ramon Leon Rodriguez, such as its CRM or automation platform, may be in another country; Jose Ramon Leon Rodriguez is responsible for telling you about that destination and putting any required transfer safeguard in place. 8. How long your data is kept

Deleting your response from LeadPass also deletes its webhook-delivery records in LeadPass, but it cannot erase a copy that Jose Ramon Leon Rodriguez already sent to its own CRM, automation platform or another connected destination. Jose Ramon Leon Rodriguez, as controller, must also deal with those copies when responding to your request.

9. Your rights

Depending on the law that applies to you, you may have rights to access, correct or erase your data, to restrict or object to processing, and to receive a portable copy where applicable. Where the GDPR applies, these include the rights set out in Articles 15–21.

You may also ask for meaningful information about how the assessment worked in your case (which criteria were applied and how your answers influenced the result), express your point of view, and ask that a person at Jose Ramon Leon Rodriguez review the full assessment and reconsider the outcome. Where Article 22 GDPR applies to a decision with legal or similarly significant effects, Jose Ramon Leon Rodriguez must provide the safeguards that provision requires.

Send requests to Jose Ramon Leon Rodriguez at legal [at] useleadpass.com — as controller, it decides on them. If you contact LeadPass instead (legal [at] useleadpass.com), LeadPass will forward your request to Jose Ramon Leon Rodriguez and assist it in responding. Deleting your response removes recordings, transcripts, the assessment and related delivery records from LeadPass; Jose Ramon Leon Rodriguez remains responsible for erasing any copy already delivered to its connected tools.

10. Your voice is not used to identify you

Your recordings are used only to transcribe what you said and assess its content. No voiceprint is created; your voice is not used to identify, authenticate or profile you as a speaker; no emotion recognition is performed on your voice. The recordings are therefore not processed as biometric data.

11. What you should not share

Please answer only about your enquiry. Do not share sensitive personal information — such as health details, religious or political views, or other special categories of data — and do not record anyone other than yourself. If you mention such information anyway, the system is instructed not to use it in the assessment, but AI output is probabilistic and cannot be guaranteed to omit it. The safest option is not to say it.

12. Do you have to provide your data?

No — answering is entirely voluntary, but the fields marked as required and the voice answers are needed to submit a response; without them, Jose Ramon Leon Rodriguez may be unable to assess your request. Progress is resumed through the necessary browser session cookie, not by looking up your email address. If this page asks for email, it is used for contact, duplicate-response protection and, when enabled, the Review-to-Pass result email described in section 6. If you leave part-way, the response closes automatically after about 24 hours. Usable answers may then be assessed as described in section 4; missing required evidence produces Incomplete, while a partial response with enough evidence may produce Pass, Review or No pass. If nothing usable was recorded, the response closes as failed without an overall recommendation. Whatever you provided is handled under the same retention and rights rules described here.

13. Cookies and technical data

This page sets only strictly necessary first-party cookies: a session cookie (so your progress isn't lost; it expires after about 2 hours of inactivity) and a security token. Cloudflare may also use a security cookie or comparable technology where its network-protection service requires it. No analytics, advertising or cross-site tracking cookies are used, so LeadPass currently shows no cookie-consent banner.

The first next-step click described in section 3 is recorded only when you explicitly submit that button. It does not set or read an analytics cookie, and LeadPass does not observe what happens after the redirect.

Your browser contacts Cloudflare for network delivery and security and, when the anti-bot check is enabled, Cloudflare Turnstile, which processes your IP address and browser signals to tell humans from bots. Cloudflare processes those signals on LeadPass's behalf to perform the check and states that it acts separately as an independent controller when it uses Turnstile signals to improve Turnstile (see Cloudflare's Turnstile Privacy Addendum). LeadPass does not use these services to track you across sites.

14. Complaints

Where applicable law gives you this right, you can also complain to the privacy or data-protection authority responsible where you live, work or where Jose Ramon Leon Rodriguez is established — for example the AEPD in Spain (aepd.es) or the UODO in Poland (uodo.gov.pl).

15. Changes to this notice

The updated date above tells you when this notice last changed. The audio-retention promise shown when you record is stored with your response and is never weakened later (section 8).
